What you'll accomplish
By the end of this guide, you'll have Dental Intelligence connected to your practice management software — automatically calculating the KPIs that matter most (production per hour, hygiene reappointment rate, unscheduled treatment value) and surfacing the highest-value actions you should take each week.
What you'll need
Go to dentalintel.com and click Start Free Trial. Enter your practice info, PMS type, and contact details. Dental Intelligence will assign you an onboarding specialist who will walk you through setup on a screenshare call.
What you should see: A confirmation email with your login credentials and a link to schedule your onboarding call.
Troubleshooting: If you don't see a confirmation within 30 minutes, check your spam folder. The onboarding call is typically within 24–48 hours of signup.
During your onboarding call, the Dental Intelligence specialist will guide you through authorizing the data connection. For Dentrix: they'll install a secure agent on your server. For cloud PMS (Curve, CareStack): it's a direct OAuth authorization in your PMS admin settings.
What you should see: In the Dental Intelligence dashboard, a "Sync in progress" indicator, followed within minutes by your historical data beginning to populate.
Troubleshooting: If the sync fails, the most common issue is firewall settings blocking outbound connections on port 443. Your IT person (or Henry Schein support for Dentrix) can assist.
Once data syncs (usually within 30–60 minutes for most practices), open the Dental Intelligence dashboard. You'll see:
What you should see: Numbers that may surprise you — most practices discover their hygiene reappointment rate is lower than they thought, and unscheduled treatment value is higher than expected.
In the Settings section, enter your monthly production goals, collections goals, and new patient targets. These are used to calculate whether you're on track each day. Your dentist-owner should be involved in setting these numbers.
Navigate to Opportunities or Smart Lists in the dashboard. This shows you the highest-priority actions this week: which patients have unscheduled treatment worth calling about, which hygiene patients are overdue for recall, and which providers have schedule gaps that could be filled with specific patient types.
What you should see: A prioritized list of patient names with the action needed and the production value associated with each.
